You can do a stock count using the Zeemart mobile app or the Zeemart Buyer Hub desktop panel.
Tip: We recommend doing stock count when your store is closed so that no items are counted twice or sold after they have been counted.
iOS, Android
1. Go to Inventory.
2. Check that you are viewing inventory lists for the correct outlet. If you need to switch to another outlet, tap the outlet name at the top of the screen.
3. There are two ways to start a stock count:
Tap the Count button next to the name of the list, or
Tap the list name, then tap the Start stock count button at the bottom.
4. Tap the quantity field or use the (-) and (+) buttons to enter the amount of stock you have left for each item.
If the item is a Group SKU, you should input the quantity for all the items in the group. Tap the View button to view the items in the group.
5. If you counted items you received on the day (eg. after closing), ensure the "This count includes items received today" toggle is turned ON. This will exclude all incoming stocks for today in the incoming column of the SKU Tab of the Outlet details page in Zeemart Buyer Hub.
6. Once you are ready to save the stock count, tap Save stock count. If you did not count all the items on the list (leaving some fields empty) you can still save the stock count, but you'll need to tap Yes, fill in blank fields & save when prompted and we'll fill these empty fields with 0 upon saving.
Do stock counts by scanning barcodes
Note: This feature is only available for outlets with the Sales (POS) add-on. Contact our team to find out more about this add-on.
To use this feature, you must have added the barcodes for the items in the Items > Sales (POS) page.
Follow Steps 1 to 3 above.
In the stock count page, you will find a blue Scan icon button. Tap it.
You will be directed to the camera screen to scan.
When a barcode is successfully detected, a quantity input sheet will appear. You will also see 'last count' and 'on hand' information if available.
If no items match the scanned barcode, an error message will appear in the bottom sheet. You can dismiss the barcode scanning screen and manually search for the item by typing the SKU name.
Enter the quantity. For items with multiple units of measurement (UOMs), tap the UOM options button to enter quantities using different UOMs.
Tap Save. A confirmation will appear at the top of the screen and you can move on to scanning the next item.
Once all items are counted, tap Finish & save to save the stock count. If you want to review the items recorded in this stock count, tap Back to list.
Correcting mistakes in a stock count
Please note that stock counts cannot be deleted. If you spot a mistake after saving the stock count, you can still correct it. Tap the inventory list on the main Inventory page, then select an item. It'll ask whether you'd like to record an adjustment or edit wrong stock count quantity. Select the second option and input the correct quantity. The quantity will be updated immediately on the inventory list page.
Creating stock counts while offline
Sometimes you may need to do stock counts at locations where internet connectivity is poor or unavailable. The Zeemart mobile app allows you to record those stock counts while offline and the changes will be synced once you are reconnected to the Wi-Fi/Internet.
Ensure that your inventory data has been saved for offline use. To do this, go somewhere where there is Wi-Fi/Internet and open the Inventory tab on the app.
The data will start downloading in the background automatically (it should take no more than 1 min unless you have an exceptionally large number of items in the Inventory).
To check if this process has been completed, turn on Flight Mode and make sure Wi-Fi is also disabled, and tap the Count button on each list. You should see a banner at the top of the page that says “You’re offline - data last updated…”.
Now that the data has been downloaded for offline use, you can now do stock counts as usual, even if there is no connectivity. You can save partially done stock counts as drafts with the Save progress button, or complete the stock count by tapping Finish & save. You’ll be informed that the stock count is being saved while you’re offline.
When you have offline stock counts or drafts that have not been synced, you’ll see a badge on the Inventory tab, as well as an icon on the top left corner of the Inventory page. Inventory lists with offline changes will also display a “Offline changes pending sync” status.
If you have saved a completed offline stock count, the “Count” button will be disabled for that list and you will not be able to create another stock count for the list until you sync the offline count or delete it first.
The offline changes will be synced when you are back online. To ensure the accuracy of your inventory data, you should sync these offline changes as soon as you can. Keep the app open until syncing is successful.
Buyer Hub
1. Click Inventory on the side navigation.
2. Select an outlet.
3. Select New stock count at the top of the page.
4. Select the inventory list to use for the count. If you are counting items you received on the day (eg. after closing), ensure the "This count includes items received today" checkbox is selected. This will exclude all incoming stocks for today in the incoming column of the SKU Tab of the Outlet details page in Zeemart Buyer Hub.
5. Click Start stock count.
6. Enter the amount of stock you have left for each item.
If the item is a Group SKU (indicated with a "G" icon next to the name), you should input the quantity for all the items in the group. You can see the list of items contained in it by clicking the "X items" label below the group name.
7. Once you are ready to save the stock count, click the Save button. If you did not count all the items on the list (leaving some fields empty) you can still save the stock count, but you'll need to click Yes, fill in blank fields & save when prompted and we'll fill these empty fields with 0 upon saving.
Importing stock counts using Excel
On the main Inventory page for an outlet, select Stock count > Import stock count.
Download the Excel template for the inventory list(s) that you'd like to do the stock count for.
In the Excel file, enter the quantity for every SKU or inventory item. If there is no stock for an item, enter 0. If the SKU can be counted in more than one UOM, you will see another UOM in the Other UOM 1 column. Enter the quantity in the Qty (Other UOM 1) field.
Save the file when you are done.
Upload the file in the Import stock count page.
If there are problems with your file, we'll show a list of issues that you need to fix in the Excel file. You'll need to reupload the file again after fixing all the issues.
If there are no issues with the file, you'll see the contents of the stock count for you to review. If everything looks good, click Save.

Go to the inventory list page, and select Actions > Amend 'last count' quantity next to an item. Input the correct quantity and save. The quantity will be updated immediately on the inventory list page.
