Nomni Procure invoice upload and copying supplier products: common problems

Quick fixes for invoice uploads that fail, get stuck or are rejected, and for items that won't copy to other outlets.

Quick answer: Answers to the questions buyers ask most about uploading invoices (web and mobile app), getting them digitised, and copying supplier items to other outlets. Each answer says what to check and what to do next.

This article is for Nomni Procure buyers using Buyer Hub on a computer or the Nomni Procure mobile app.

Before you start

  • Invoice uploads: use Buyer Hub on a computer (Invoices > Upload invoice) or the mobile app (Invoices > Upload).

  • Copying items: use Nomni Procure on a computer. Adding and copying items isn't in the mobile app yet.

  • You need access to every outlet you're copying to, and a role that can manage market lists.

Invoice upload: common problems

Which upload do I use?

  • An invoice for an order you placed in Nomni Procure: upload it against that order.

  • An invoice for an order not placed in Nomni Procure: in the mobile app, open Invoices, tap Upload, tap ••• and choose Other uploads. On a computer, click Invoices > Upload invoice.

  • Want to add new items to your market list from a supplier invoice? Use Items > Add > Add from invoice instead. That creates items; it doesn't digitise the invoice.

My file won't upload.

  • Use JPG, PNG or PDF, up to 2MB per file.

  • Upload no more than about 10 images in one go.

  • In the mobile app, if an upload fails, tap Retry next to the file.

My invoice has several pages.

  • In the mobile app, before you upload, tap Merge multi-page and pick the pages that make one invoice.

My upload is stuck "In progress".

  • It's still being read. Uploads show on the Uploads tab with a status such as "In progress 0 of 5".

  • If it stays there for more than a business day, contact us with the upload date and the outlet.

My invoice was rejected.

  • Open the Rejected tab to see why, then upload a clearer copy.

  • Take a clear, flat photo of the whole invoice so it's read correctly the first time. On iPhone, keep Auto Crop on.

The invoice is waiting for me.

  • Check Needs your input. Open the invoice with View/edit and complete the required fields: Supplier Name, Invoice Number, Invoice Date, Order Number, Payment Terms and Line Items. Then click Publish.

  • If the tab says "Nothing here for now", you're all caught up.

I uploaded the same invoice twice.

  • If the invoice number is the same, the system detects the duplicate and merges it.

My market list price changed after I published an invoice.

  • Prices you enter on an invoice update the market list price straight away if they're different.

  • If a price is very different from the market list price, you're asked to confirm first.

  • Enter unit prices without tax.

Fees like delivery don't match an item.

  • Use Add Custom Item. These show in Spending Reports as "Fees & Other Charges". Use Add Free SKU for free (FOC) items.

I can't see who uploaded an invoice.

  • On the Uploads tab, hover over the timestamp to see who uploaded it and how (app, desktop or email).

Copying supplier items to other outlets: common problems

How do I copy items?

  1. On a computer, check the right outlet is selected at the top right.

  2. Go to your suppliers list, click Actions (or ⋯) next to the supplier and choose View market list.

  3. Tick the items. Click Copy to....

  4. Under Select what to copy, tick what you want, for example Unit price, MOQ, Custom name, Buyer product code, Tags, Expense categories or Item status (enabled/disabled).

  5. Tick Also copy items not already in outlets selected below if some outlets don't have the item yet.

  6. Choose the outlets and click Save.

What you should see: the items, with the details you chose, in the same supplier's market list at each outlet you picked.

The item didn't appear at the other outlet.

  • Check you ticked Also copy items not already in outlets selected below. Without it, only items that already exist there are updated.

I need a brand-new item at all outlets (or all except some).

  • Add it once at one outlet (Items > Add > Create new), then copy it with Copy to... and leave out the outlets that shouldn't have it.

I don't see Copy to..., Add or Create new.

  • Your role can't manage market lists, or your outlet is managed by your head office (HQ), which hides Add. Ask your HQ admin or account Owner, or message us in chat and we'll add the item for you.

An outlet is missing from the list.

  • You don't have access to that outlet, or the supplier isn't set up there yet. See How to add suppliers.

Prices didn't copy, or the price box is greyed out.

  • The supplier manages its own prices, so the supplier sets the price. Ask the supplier to add or update the item.

I'm on the mobile app.

  • Adding and copying items isn't in the app yet. Use a computer, or message us in chat.

I need to remove an item from several outlets.

  • Tick the items and click Delete. When asked Also delete in other outlets?, choose whether to remove them from your other outlets too.

When it's working: Your invoice shows on the Invoices tab as digitised, or the item shows in the supplier's market list at each outlet you picked.
