Quick answer: Uploads are rejected when the image is blurry, cropped or duplicated, the language isn't supported, the invoice number was already processed, or the PO reference is missing. Fix the problem and upload the invoice again within 30 days, before the rejected upload is deleted. Then follow the steps below.
Applicable to: Procure (desktop & mobile)
If your uploads were rejected by our digitisation team, it could be due to several reasons, including blurry images, duplicate uploads, unsupported invoice language, or due to cropped image. Additional reasons include duplicate invoice numbers (when an invoice with the same number has already been processed in the system) and missing purchase order (PO) references (invoices without a clear reference to the related PO).
The rejected uploads are stored for 30 days after the rejection date before they are automatically deleted permanently.
If an upload from your outlet were rejected:
You will receive a push notification on the mobile app.
If you are using the app, you can find the rejected uploads along with the rejection reason in Invoices > Rejected uploads (see the above image).
On the Buyer Hub, the rejected uploads are stored in Invoices > Uploads (select the Rejected filter at the top).
The list of rejected uploads shows all uploads that have been rejected, including uploads from these pages:
Upload invoice by order: In the app, tap Upload on the Invoices tab, choose the order and add a photo or PDF (up to 2MB). On desktop, go to Invoices > Upload invoice, choose the outlet, drop in the files and click Done.
Upload invoice for non-Nomni order: To upload an invoice for an order not placed through Nomni Procure, open Invoices in the mobile app, tap Upload, tap ••• and choose Other uploads, then photograph or upload the invoice. JPG, PNG and PDF files up to 2MB are accepted.
While creating a Goods Received Note: In the Buyer app (iOS or Android), open the order and tap Receive. On the GRN screen, record the items and quantities you received and upload the invoice. GRN is only available in the mobile app.
What you can do with a rejected upload:
You can delete the rejected uploads yourself.: In the app, go to Invoices, tap Upload, open the order and swipe left on the upload, then tap Delete. You can only delete uploads that haven't been digitised yet.
(Mobile app only) Quickly upload a replacement image by using the Delete & reupload feature.
To resolve duplicate invoice number issues, confirm whether the invoice is a true duplicate. If it is not, adjust the invoice number or other details as per your internal processes before re-uploading.
To resolve missing PO reference issues, add the PO number directly on the invoice document so it is clearly visible. If the original invoice lacks a PO field, update the document to include the PO number before re-uploading.
