Use Zeemart to record stock transfers

You can use Zeemart to record inventory transfers, whether it is internal (list-to-list in the same outlet) or external (outlet-to-outlet).


About transfers (transfer out and transfer in)

Two types of transfer activities can be created:

Inventory transfers TO another location (Transfer out)

When you transfer stock from a list/outlet to another list/outlet, you can record a "Transfer out" event and specify the destination, if the following conditions are met:

  1. You have done at least one stock count for the item.

  2. The same item is already in the destination's inventory.

  3. Item is using the same inventory UOM in the destination's inventory.

A "Transfer in" event will be automatically created at the destination's inventory.

If conditions #2 and #3 listed above are not present, you can only create a "Transfer out" event without specifying the destination.

You can also record a "Transfer in" event and specify the source location, if the following conditions are met:

  1. You have done at least one stock count for the item.

  2. The same item is already in the source location's inventory.

  3. Item is using the same inventory UOM in the source location's inventory.

However, unlike when recording a "Transfer out" event, recording a "Transfer in" event will NOT automatically create a corresponding "Transfer out" event at the source location's inventory.

If conditions #2 and #3 listed above are not present, you can only create a "Transfer in" event without specifying the source.


How to use

iOS & Android

1. Go to Inventory.

2. Tap an inventory list.

3. Select an item and tap Record an adjustment.

4. Enter the transfer quantity and select either Transfer out or Transfer in.

5. If the item is also present in other list or locations (and using the same inventory UOM), you will be prompted to select a destination/source location (optional). Select a location and tap Save.

  • Internal destinations = Same outlet, different lists.

  • External destinations = Different outlet (will be received in the default list for that item).

6. Tap Save adjustment.

7. Receiving outlets will get a push notification like this:

8. When they tap the push notification, they will see the details of the incoming transfer.


Buyer Hub

1. Go to Inventory and select a location.

2. In the SKU tab, select Actions > Add stock adjustment next to an item.

3. Enter the transfer quantity and in the Reason dropdown, select either Transfer out or Transfer in.

4. If the item is also present in other list or locations (and using the same inventory UOM), you will be prompted to select a destination/source location (if you do not want to select a location, deselect the checkbox).

  • Internal destinations = Same outlet, different lists.

  • External destinations = Different outlet (will be received in the default list for that item).

5. Select a location and click Save.


What if I want to reject an incoming transfer?

As Zeemart does not have a feature to reject incoming transfers, we recommend you write off the event by creating a 'transfer out' event back to the origin, or recording the rejected stock as wastage.
