Uploaded invoice not showing or not processed yet

Why an uploaded invoice isn't in your list yet, and how to find, fix or link it

Applies to: Nomni Procure (app and Buyer Hub).

How processing works

  • Clear invoices are often read automatically and appear quickly.

  • Others go into a queue for our digitisation team, who check the supplier, items and prices. This can take up to a few working days at busy times, such as month end.

  • Data only shows in reports after the invoice is processed.

Step 1: Find the invoice

  1. Go to Invoices.

  2. Select the right outlet.

  3. Turn on the This week and Older filters so all dates show.

  4. Check Invoices > Uploads. An invoice listed here is uploaded but not processed yet.

What you should see: the invoice in the processed list, or in Uploads waiting to be processed.

Step 2: Check if it was rejected

  1. In Invoices > Uploads, select the Rejected filter (in the app: Invoices > Rejected uploads).

  2. Read the rejection reason. Common reasons are a cropped or blurry photo, missing pages, or a duplicate of an invoice already processed.

  3. Re-upload a clear photo of every page. Don't re-upload duplicates.

See Rectifying rejected invoices for more detail.

Step 3: Ask us to prioritise

If an invoice is urgent (for example, for month-end close), send us the supplier name and invoice number in chat. We'll check it and move it up the queue.

If something goes wrong

The PO isn't in the dropdown when I link the invoice: the list only shows orders close to the invoice date. Temporarily change the invoice date to the order date, select the PO, then change the date back to the real invoice date and publish.

The invoice number or amount looks wrong: the automatic reading sometimes misreads characters (for example I and 1). Tell us the invoice number and we'll correct it. If you already exported it to accounting, see Fix invoice export errors to Xero.

The invoice won't publish after adding a custom item: make sure the unit size is filled in for every line.

I need to download a lot of invoices: you can download up to 50 at a time, so filter by a shorter date range or download page by page.
