Fix invoice export errors to Xero

Reconnect Xero, map suppliers, fix duplicate invoice numbers and re-export edited invoices

Applies to: Nomni Procure Buyer Hub, admin users with access to accounting settings. Set up the integration first: see Integration - Xero (Buyers).

Error: you are asked to reconnect, or nothing exports

  1. Click your username at the top right and select Companies.

  2. Next to the company, click Actions > Manage integration. (On some accounts this is Actions > Manage accounting settings next to the outlet.)

  3. Click Disconnect.

  4. Click Connect next to Xero, log in to Xero and select Allow access.

  5. Make sure you pick the Xero organisation whose name matches this company.

What you should see: the Xero integration shows as Connected. Try the export again.

If you have several companies, each one must connect to its own Xero organisation. If the names don't match, disconnect and reconnect each company separately.

Error: supplier not mapped

  1. Open the Xero integration page (as above) and go to Export settings & data mapping > Supplier mapping.

  2. Find the supplier on the invoice. If Export as... is empty, pick the matching Xero contact and a Chart of Account.

  3. Click Save, then export again.

Check the invoice is under the right supplier. If it was processed under the wrong supplier, open the invoice, change the supplier, and export again.

Error: invoice number already exists

Xero won't accept an invoice number that already exists for that contact, including deleted or voided bills.

  1. Search Xero for the invoice number, including deleted and voided bills.

  2. If it's a real duplicate, don't export it again.

  3. If it's a different invoice with the same number, edit the invoice in Nomni Procure and add -1 to the end of the invoice number.

  4. Export it. You can remove the -1 in Xero afterwards if you need to.

You edited an invoice that was already exported

When an exported invoice is changed, it shows Export again. When you export, you'll see This invoice has been exported before.

  1. Delete or void the old bill in Xero first, so you don't get duplicates.

  2. In Nomni Procure, click Export on the invoice.

  3. Click OK export again.

What you should see: the bill in Xero with the corrected amounts.

GST is wrong in Xero

  1. Check the GST on the invoice in Nomni Procure first.

  2. Check the supplier mapping and Chart of Account for the right company (suppliers can be mapped per company).

  3. If a supplier is not GST-registered but shows GST, send us the supplier name. We update GST registration for suppliers, and it applies to all outlets.
